Office Manager

Job Objective: The Office manager will provide office management and human resources support to the general organizational operations. Working under the direct supervision of the Human Resource Manager and CEO this position provides all necessary organizational support and is responsible for a variety of administrative tasks. Immediate Supervisor: CEO/Human Resource Manager Primary Responsibilities: Engaging in office customer service: answering call, taking messages, distributing messages, maintaining and managing an agency call log. Engage in agency recruiting activities to ensure company goals get met. Manage agency calendar |agency contact list | agency email accounts | Sharenote, GroupMe and Dropbox. Taking Notes during all meeting and send email of minutes notes. Manage meeting minutes | decision outcome of agency work. Ensure overall organization of office (cleanliness, visitors, beverages, snacks etc.). Management and execution of the workforce development processes (onboarding and offboarding). Ensure personnel files are orderly, neat, and properly stored in accordance with agency regulations. Complete personnel chart audits Monthly. Conduct agency quality assurance surveys with personnel quarterly. Conduct agency OIG Checks monthly. Is the lead coordinator and organizer on all company events (reserving spaces, ordering food, organizing clean-up, communication to staff about details etc.). Manages company email account Manage all needs and requests made by administrative team. Send out company correspondences via email or in writing. Other duties as assigned. Knowledge skills and abilities: Experience in managing organizational projects to include balancing competing priorities, complex situations and tight deadlines. Excellent written, verbal, and interpersonal communication skills. Ability to be articulate concisely, compellingly, and diplomatically. Skilled in recruiting and managing a multicultural and diverse staff at different skill levels. Ability to interact effectively with counterparts within and outside of AVYFS. Ability to foster and model effective costumer services. Ability to solve complex problems. Ability to perform the physical requirements and essential functions of the job. Qualifications Administrative support experience is preferred or not required. Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure. Must have some experience and skilled in the use of software programs such as MS Word, PowerPoint, and Excel.
